We do not sell your personal information. We may share your personal information with the following categories of third parties for the purposes described below:
Payment processors: We share payment information with our third-party payment processor solely to process your transactions. Our payment processor is contractually obligated to use your information only for payment processing and to maintain appropriate security measures.
Technology vendors: We use third-party service providers for website hosting, email distribution, event registration platforms, and related technology services. These vendors process personal information solely on our behalf and pursuant to our instructions.
Meeting sponsors: With your affirmative opt-in consent, we share limited attendee information (name, practice name, and practice city/state) with meeting sponsors. See “Meeting Sponsor Data Sharing” below for details.
CME accreditation bodies: We share CME participation records with accreditation organizations as required for credit reporting.
Legal and regulatory authorities: We may disclose personal information when required by law, subpoena, court order, or governmental regulation, or when we believe disclosure is necessary to protect our rights or the safety of others.
We use Google Analytics to collect information about use of the Services. Google Analytics collects information such as how often users visit the Services, what pages they visit when they do so, and what other sites they used prior to coming to this site. We use the information we get from Google Analytics to improve the Services. Google Analytics collects only the IP address assigned to you on the date you visit this site, rather than your name or other identifying information. We do not combine the information collected through the use of Google Analytics with personally identifiable information. Although Google Analytics plants a permanent cookie on your web browser to identify you as a unique user the next time you visit this site, the cookie cannot be used by anyone but Google. Meeting Sponsor Data Sharing
AOS partners with sponsors to support our educational meetings and conferences. We offer registrants the opportunity to consent to sharing limited personal information with meeting sponsors.
What we share: If you opt in, we share your name, practice name, and practice city/state with sponsors of the meeting for which you registered.
How consent works: During the registration process, you will be presented with an unchecked opt-in checkbox. Sharing occurs only if you affirmatively check the box. Your registration is not conditioned on opting in.
How sponsors may use your information: Sponsors who receive your information may contact you with information related to the meeting or their products and services relevant to the meeting’s subject matter. Sponsors are restricted to meeting-related follow-up communications.
Revoking consent: You may revoke your consent to sponsor data sharing at any time by submitting a request through our online Privacy Request Form at https://alorthosociety.org/privacy-request-form. Revocation will apply prospectively; information already shared with sponsors prior to your revocation cannot be recalled, but we will direct sponsors to remove you from future communications.
AOS does not receive monetary compensation from sponsors in exchange for attendee personal data. Sponsor sharing is structured as a service provided in connection with the meeting relationship, not as a sale of personal data.
Event Photography and Recordings
AOS photographs, video-records, and audio-records its meetings and events for educational, promotional, marketing, and archival purposes.
Consent: During the event registration process, you will be presented with an unchecked opt-in checkbox to consent to the recording and use of name, image, voice, and likeness in photographs, video, and audio recordings in all media (including print, digital, social media, and web).
Scope of use: Consented media may be used by AOS for promotional materials, website content, social media, educational programming, marketing, and archival purposes.
Revoking consent: You may revoke your media consent at any time by submitting a request through our online Privacy Request Form at https://alorthosociety.org/privacy-request-form. Revocation is prospective only—AOS will cease future use of your media in new materials but is not required to recall materials already published or distributed prior to revocation.
Your Privacy Rights
AOS is committed to honoring the following privacy rights for its members, registrants, and website visitors, consistent with applicable law and best practices:
Right to know: You may request confirmation of whether AOS holds personal information about you and obtain a copy of that information.
Right to correction: You may request that we correct inaccurate personal information we maintain about you.
Right to deletion: You may request that we delete personal information we hold about you, subject to our legitimate retention needs (such as legal compliance, financial recordkeeping, or CME reporting obligations).
Right to data portability: Where technically feasible, you may request a copy of your personal information in a commonly used, machine-readable format.
Right to opt out of data sharing with sponsors: You may opt out of, or decline to opt into, sharing your information with meeting sponsors at any time.
Right to revoke media consent: You may revoke consent to photography and recording use at any time (prospective effect only).
Right to opt out of targeted advertising: AOS does not currently engage in targeted advertising based on personal data. If this changes, we will update this Notice and provide an opt-out mechanism.
How to Exercise Your Rights
To exercise any of the rights described above, you may:
Submit a request through our online Privacy Request Form at https://alorthosociety.org/privacy-request-form
When submitting a request, please provide sufficient information for us to verify your identity and locate your records (e.g., your name, email address, and membership number if applicable).
We will acknowledge your request and respond within 45 days. If we need additional time, we will notify you of the reason and the expected response date. If we deny a request in whole or in part, we will explain the basis for the denial.
You will not be required to pay a fee to exercise your privacy rights, and we will not discriminate against you for exercising them.
Data Security
AOS maintains reasonable administrative, technical, and physical safeguards designed to protect your personal information from unauthorized access, disclosure, alteration, or destruction. These measures include encryption of payment data in transit, access controls limiting personnel access to personal information on a need-to-know basis, and contractual obligations imposed on our third-party service providers.
No method of electronic transmission or storage is completely secure. While we strive to protect your personal information, we cannot guarantee absolute security.
Children’s Privacy
Our website and services are directed to medical professionals and are not intended for use by children. AOS does not knowingly collect personal information from children under the age of 13. If we become aware that we have inadvertently collected information from a child under 13, we will promptly delete it. If you believe we have collected information from a child under 13, please submit a request online through our online Privacy Request Form at https://alorthosociety.org/privacy-request-form.
Changes to This Notice
AOS may update this Privacy Notice from time to time to reflect changes in our practices, applicable law, or organizational needs. When we make material changes, we will post the updated Notice on our website and update the “Effective Date” below. Where required by law or where the changes materially affect the processing of your information, we will provide additional notice (such as an email notification or a prominent statement on our website).
We encourage you to review this Notice periodically.
